Privacy Policy

How MyGatherIt LLC handles website visits, account information, educational records, and privacy requests.

Effective October 21, 2026

The public website and contact email

MyGatherIt LLC operates this public website and the Gather It application. The public website provides product information and does not collect student records or payment-card information. Our hosting provider processes routine connection and security information, such as IP address and request metadata, to deliver and protect the website. We have not added advertising trackers or third-party analytics scripts to this website.

If you contact info@mygatherit.com, we use your email address and the information you send to respond and handle your request. Please do not send protected student records or passwords by email. Sensitive account-data requests require identity and authority verification.

Information Gather It handles

Gather It may handle account and authentication information; family and Student Profiles; parent-entered educational records; goals, accommodations, services, communications, meetings, timeline entries, evidence, reports, templates, and notes; student-facing settings and contributions; professional access grants and secure matter communications; provider references; feedback and data requests; and security, audit, diagnostic, and operational metadata needed to run and protect the service.

Do not enter information unrelated to the student’s educational advocacy, family participation, authorized professional collaboration, or operation and protection of the account.

Why information is used

Information is used to organize the family educational record, support meeting and advocacy workflows, provide Student Companion when the parent enables it, create user-reviewed reports and templates, support reminders and search, maintain authorized collaboration, process explicit AI-assisted requests, protect accounts, prevent unauthorized access, diagnose failures, operate backup/recovery controls, and respond to authenticated support, feedback, privacy, or data requests.

Parent-owned source documents

Original files selected from or uploaded to Google Drive remain in the family’s Google Drive. Personal OneDrive connection and upload are in controlled release; files placed there remain in the user’s OneDrive app folder. Gather It stores authorized provider references and parent-reviewed application records; it does not become the owner of provider-held originals. Disconnecting a provider or deleting a Gather It reference does not itself delete the original file from the provider account.

Student Companion and child information

Student Companion is parent-controlled. Students do not publicly self-register. A verified Student identity must be associated with the correct family and assigned by an authorized parent or guardian to one Student Profile before access is enabled. The parent controls what the Student Companion may show and can disable or revoke access.

Review the Child & Student Privacy Notice for the student-specific access model and parent choices.

Access, invitations, and sharing

Production application records use authenticated, family-scoped access controls. Parents control invitations and student-specific permissions. Attorney, Team Member, Student, and other invited access is limited by the applicable role, family relationship, student, purpose, record categories, feature permissions, and expiration or revocation controls.

Platform administration is intended to use account, security, invitation, audit, and operational metadata rather than routine inspection of family educational content. Access needed for a specific support, security, or legal incident should be limited to the purpose and handled through the applicable controlled process.

Service providers and connected services

Gather It relies on service providers for functions such as hosting, database/authentication, email, connected document providers, and—when separately activated—AI processing and commercial billing. Providers receive only the information reasonably needed for the configured service and remain subject to their own security, privacy, availability, and contractual terms.

Gather It does not sell student educational records and does not use family or Student Companion educational content for behavioral advertising.

AI-assisted processing

An AI-assisted feature may process authorized student context or selected evidence for a user-requested task. Gather It is designed to minimize unnecessary context, keep factual student output evidence-grounded where the feature requires it, and require human review rather than allowing AI to silently change the Parent record or make a decision for a family.

Provider-backed AI terms depend on the provider arrangement actually activated. See the AI Transparency & Human Review Notice.

Temporary processing

Where temporary document processing is used, supported files are limited by the active product configuration and the processing session is time-limited. Gather It records lifecycle metadata and requires cleanup confirmation; temporary source content is not intended to become a permanent replacement document repository.

Retention, export, correction, and deletion

Application records are retained while needed to provide the authorized account and as reasonably necessary for security, audit, recovery, fraud/abuse prevention, dispute documentation, or legal obligations. Gather It aims not to retain personal information merely because it might be useful later.

Authorized families can submit authenticated requests to export, correct, or delete application data. A deletion request is verified before action and is distinct from merely disabling application access. Completed application deletion does not delete provider-owned originals. Limited security or audit records may be retained when necessary to protect the service or document a completed request.

Privacy choices and requests

Depending on applicable law and the relationship to Gather It, a person may have rights concerning access, correction, deletion, portability, or other processing choices. Gather It provides an authenticated Data Controls workflow so requests can be verified and tracked rather than handled through an unverified email alone.

If a privacy request is denied or limited, the response should explain the reason and any available appeal or follow-up method that applies to the request. Use Request Access before sign-in, or authenticated Data Controls after sign-in, to start a privacy request.

Security

Gather It uses provider authentication, strong-session checks, family-scoped database policies, encrypted provider credentials where applicable, session controls, authorization boundaries, audit controls, and backup/recovery practices. No system can guarantee absolute security. Report unexpected access, account compromise, or an incorrectly exposed record promptly through the available support channel.

Private beta and policy changes

During private beta, operational practices may be refined as features and providers are validated. Material privacy changes receive a new version and may require renewed acknowledgment. Commercial billing and public launch are separate product decisions and do not occur automatically because the Production beta is available.

Review the Legal & Trust Center for the current notice set.
